Privacy Policy
This policy explains how GroupFill handles information used to coordinate recurring groups and event participation.

Information we collect
GroupFill collects information provided by organizers and participants to coordinate recurring events. This may include organizer email addresses, participant names, phone numbers, optional email addresses, group and event details, RSVP responses, attendance status, and waitlist position.
We may also collect limited technical information needed to maintain secure sign-in sessions, protect the service, diagnose problems, and understand whether messages were delivered.
How information is used
- Create and manage organizer accounts, groups, recurring events, and dated sessions.
- Provide private RSVP links and calculate confirmed and waitlisted attendance.
- Deliver event invitations, reminders, schedule updates, and waitlist notifications when messaging is enabled and the recipient has consented.
- Maintain security, investigate abuse, and comply with applicable legal obligations.
Text messaging and consent
If text messaging is enabled, GroupFill sends event-related messages only to people who have provided appropriate consent or have otherwise agreed to receive communications about their group. Message frequency varies according to event activity. Message and data rates may apply.
Recipients can opt out of future text messages by replying STOP. When available, replying HELP provides support information. Consent to receive text messages is not a condition of purchase.
Mobile phone numbers, messaging opt-in information, and consent records are not sold, rented, or shared with third parties for their own marketing or promotional purposes.
When information is shared
Information is available to the organizer responsible for a participant’s group. GroupFill may use infrastructure, database, authentication, and messaging providers to operate the service. These providers may process information only as needed to provide their services, maintain security, or satisfy legal obligations.
We do not sell personal information.
Data security and retention
GroupFill uses organizer authentication, access controls, private RSVP tokens, and service-provider security features to protect information. No online system can guarantee absolute security. Information is retained as long as reasonably necessary to operate the relevant group, comply with legal requirements, and resolve legitimate operational or security issues.
Your choices
Participants may ask their group organizer to update contact information, remove them from future invitations, or address questions about their event data. Organizers are responsible for collecting participant information appropriately and honoring applicable consent requirements.
Changes to this policy
We may update this Privacy Policy as GroupFill develops. The latest version will remain available at groupfill.co/privacy.
