GROUPFILL POLICIES
Terms of Service
These terms describe the basic rules for organizers and participants using GroupFill.
Last updated August 24, 2026
Using GroupFill
GroupFill helps organizers manage recurring groups, event invitations, participant responses, attendance limits, and waitlists. By using the service, you agree to use it lawfully and only for legitimate group coordination.
Organizer responsibilities
Organizers are responsible for the accuracy of event details and participant information, obtaining any required consent before adding or messaging participants, communicating material event changes, and complying with applicable laws and messaging requirements.
Organizers must not use GroupFill to send unsolicited messages, harass recipients, impersonate other people, or distribute inappropriate or unlawful content.
Participant invitations and RSVP links
Private RSVP links allow invited participants to respond without creating an account, including signing up on behalf of additional attendees such as children. Each link is intended for its recipient and should not be shared publicly. Attendance and waitlist status may change as participants respond, cancel, or as an organizer adjusts event capacity.
Text-message terms
SMS participation is optional. Users may use or participate in GroupFill without consenting to receive SMS messages. Declining SMS consent does not prevent a user from joining GroupFill or participating in a group.
If messaging is enabled and a participant opts in, GroupFill may send transactional text messages about group invitations, RSVP reminders, event updates, confirmations, waitlist changes, and post-session payment requests. Message frequency varies. Message and data rates may apply.
Reply STOP to unsubscribe from future text messages. Reply HELP for assistance when messaging support is available. Consent is not a condition of purchase. Wireless carriers are not responsible for delayed or undelivered messages.
Email offers and organizer marketing
Participants may optionally choose to receive emails from a specific organizer about that organizer’s other sessions and offers. When they do, GroupFill makes the participant’s email address available to that organizer. GroupFill does not send these marketing or promotional emails.
An organizer who sends such emails is solely responsible for them and must comply with all applicable laws, including the CAN-SPAM Act and any other applicable marketing and privacy requirements. This includes emailing only participants who opted in, clearly identifying promotional messages, including a valid physical postal address and a working way to unsubscribe, and promptly honoring opt-out requests. Organizers must not share, sell, or use participant contact information for any purpose the participant did not agree to.
Payments
Where enabled, GroupFill may help an organizer request payment from participants after a session by generating a link to the organizer’s own third-party payment service. Any payment is made directly between the participant and the organizer through that third-party service. GroupFill does not process, hold, or transfer funds, is not a party to the transaction, and is not responsible for amounts, refunds, or disputes, which are handled between the participant, the organizer, and the payment service.
Availability and changes
GroupFill is provided on an as-available basis. Features may change as the service develops, and delivery of invitations, messages, or reminders cannot be guaranteed. Organizers remain responsible for confirming important event information and maintaining appropriate backup communication.
Disclaimer of warranties
GroupFill is provided “as is” and “as available,” without warranties of any kind, whether express or implied, including any implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the service will be uninterrupted, timely, secure, or error-free, or that any message, invitation, reminder, or payment request will be delivered.
Limitation of liability
To the fullest extent permitted by law, GroupFill and its operators will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of data, goodwill, or opportunity, arising out of or relating to your use of the service. Our total liability for any claim relating to the service will not exceed the greater of the amount you paid to use GroupFill in the twelve months before the claim or one hundred U.S. dollars.
Indemnification
Organizers agree to indemnify and hold harmless GroupFill and its operators from any claims, damages, liabilities, and expenses (including reasonable legal fees) arising from the organizer’s use of the service, including messages and marketing emails the organizer sends, the organizer’s collection and handling of participant information, payment arrangements with participants, and any violation of these terms or applicable law.
Privacy
Our Privacy Policy explains how organizer and participant information is handled.
Updates to these terms
We may revise these terms as GroupFill evolves. The latest version will remain available at groupfill.co/terms. Continued use of the service after an update means you accept the revised terms.
